Give three dates different jobs
| Date | Purpose |
|---|---|
| Renewal date | When the next subscription term begins or renews, according to the vendor's terms. |
| Contractual notice deadline | The last date to provide the required notice for the intended change. |
| Internal decision deadline | The earlier date your firm chooses to complete its review and authorize the action. |
Record the required notice method as well as the date. A note in your internal calendar does not send a cancellation or amendment request to a vendor.
How do you calculate the decision deadline?
When the contract states its notice period in calendar days, use:
Decision deadline = renewal date − contractual notice days − chosen buffer days.
The buffer is the time your team chooses to allow for discussion, approval and completing the vendor's process. Select it for the subscription's importance and the people involved. It is separate from the vendor's notice requirement.
If the contract specifies months, business days, a particular time zone or a fixed notice date, confirm the exact contractual deadline instead of assuming a number of calendar days. Count back the chosen internal buffer from that confirmed date.
The example above uses a 14-day buffer. The calculator starts with an editable 7-day review allowance; enter the buffer your firm selects.
Calculate your decision date
Decision date = renewal date minus contractual notice period minus review time. Use calendar days unless your contract specifies another method. The default 30 days notice and 7 days review are editable assumptions, not vendor terms.
Add the decision date, not the renewal date, to your calendar. Use the calendar setup steps below.

Build the calendar from your inventory
- Confirm the subscription. Record the tool, plan, account reference and owner so the team can identify the right agreement.
- Read the renewal terms. Confirm the renewal date, notice requirement and notice method using the vendor's current agreement or account records.
- Choose the buffer. Allow time for the people who need to review and approve the decision.
- Set the internal deadline. Calculate it using the applicable terms, then check the result.
- Assign the action. Identify who will prepare the review, who can approve it and who can make the account change.
- Record completion. Keep the vendor confirmation, effective date and any follow-up action with the decision record.
If a date or notice term is missing, make confirmation the next action. Do not mark the renewal as reviewed until the missing information is resolved.
Turn each deadline into a decision
Review subscriptions in order of their internal decision deadlines. Ask the owner to bring current billing information, evidence of use and any operational requirements that affect the choice.
- Keep: continue the arrangement and set the next review date.
- Resize: adjust seats, plan, usage limits or commercial terms.
- Test: define a bounded evaluation and its next decision date.
- Retire: plan the transition and complete the required cancellation process.
Use the AI Decision Record to capture the reason and owner. A proposed change belongs in the record as proposed until the vendor or account administrator confirms it.
Questions about renewal deadlines
What if the subscription renews monthly?
Record the next renewal and its actual notice terms. Use a review cadence suited to the account's importance, spending and rate of change. Update the next relevant deadline after the review.
What if the deadline has already passed?
Ask the account owner to confirm which options remain under the agreement. Record that answer, the next available action date and any commitment already made.
What about usage-based billing?
A renewal calendar covers dates. Usage-based spending also needs an owner, a defined review period and a record of the limit or alert actually configured in the vendor account. Include those checks in the subscription review.
Keep the wider review together
The AccruePilot AI Spend Control System combines a local browser Control Center, an Excel workbook and a field guide for your firm's AI spend reviews.
The free calendar records the confirmed contractual notice deadline. The paid Control Center and workbook record a renewal date but have no dedicated notice-deadline field, so keep the notice requirement and internal decision date in your calendar or companion files.
