How to check AI renewal dates

To check AI renewal dates, start with the vendor billing portal, purchase emails, payment records and current agreement. Reconcile those sources rather than assuming the last charge date is the next deadline. Then confirm the notice rule and work backward to a decision date. The method below keeps uncertain dates visible until an owner verifies them.

How to check AI renewal dates: where the evidence lives

  1. Check the vendor billing portal: Ask the authorized account administrator to inspect the current subscription, purchased capacity, billing term and next renewal. Record the date shown, the time zone if relevant, and the source location without copying credentials.
  2. Find the purchase or renewal email: Look for the order confirmation, renewal notice or invoice in the firm's authorized records. Check that it refers to the current plan and agreement, not an earlier purchase or canceled account.
  3. Reconcile the payment record: Use approved card, expense or bank records to identify the payer, vendor and charge pattern. A payment date helps locate the subscription but may not establish the renewal date or notice deadline.
  4. Read the agreement and confirm uncertainty: Check the current order form or contract for term, renewal, notice period and required notice method. Resolve conflicting dates with the vendor or account owner and retain the confirmation before relying on the calendar.

Notice periods

A renewal date and the last date to act can be different. For a notice period stated in calendar days, use: decision date = renewal date minus contractual notice days minus review time. The review time is the firm's chosen buffer; the notice requirement comes from the agreement.

Illustrative example: a renewal on March 15, 2027, with an assumed 30-calendar-day notice period and seven-day review buffer gives March 15 minus 30 days minus seven days = February 6, 2027. Those inputs are hypothetical, not a vendor's terms.

Use the actual rule where the agreement specifies business days, a cutoff time or a different method. The calculator handles calendar-day subtraction; it does not interpret a contract. Add the decision date, not just the renewal date, to your calendar.

Calculate your decision date

Decision date = renewal date minus contractual notice period minus review time. Use calendar days unless your contract specifies another method. The default 30 days notice and 7 days review are editable assumptions, not vendor terms.

Add the decision date, not the renewal date, to your calendar. Follow the renewal calendar guide.

The calendar method

Put the confirmed renewal, notice deadline and earlier decision date in the AI renewal calendar. Assign an owner and link the source agreement or confirmation in the place your team uses for its working records.

Review the upcoming deadlines regularly and after a purchase or staffing change. A monthly calendar check can be a practical starting cadence, but use a shorter lead time where necessary to reach the earliest deadline. Keep the completed vendor action and its effective date with the decision record.

What to do when a date cannot be found

Mark the date unconfirmed and assign a follow-up owner. Ask the vendor for the current renewal date, the last date and method for notice, any limits on seat changes and the effective date of a requested change. Record the response and its date.

Reconcile the answer with the payer and the AI tool inventory. The AI subscription audit guide explains how to handle missing evidence without treating a blank as zero.

Questions about renewal dates

What if the vendor does not show a renewal date?

Ask the account owner or vendor support for the current agreement, term and next renewal date in writing. Record the uncertainty and follow-up owner; a previous charge date alone does not confirm the next contractual deadline.

How much notice do vendors usually require?

There is no universal notice period. Read the actual agreement and confirm whether it uses calendar days, business days, a stated date or another rule, together with the required notice method.

Should we cancel or renegotiate at renewal?

First decide what work and capacity the firm needs. Record Keep, Resize, Test or Retire with an approver, then confirm any commercial change and its effective date with the vendor.
