The five clauses in an AI spend policy template
Buying authority
Only roles authorized under the firm's spending rules may buy, renew, change paid capacity or enable extra usage. A requester records the intended purpose and owner before commitment.
Approval threshold
The firm records its approval threshold, currency and commitment basis in its internal policy. Purchases or changes above that threshold require the designated approver before commitment; splitting a commitment does not remove that requirement.
Renewal owner
Each subscription has a named owner and backup. The owner records the billing account, current agreement, renewal date, notice method and decision deadline, and retains confirmation of completed changes.
Review cadence
The firm records its recurring review cadence and reviews each subscription early enough for its actual notice requirement. Material changes in price, access, workload or purpose trigger an additional review.
Data boundary
Use is limited to the information and workflows the firm has approved. The responsible reviewer confirms any client, candidate, employee or other restricted-information boundary before that information is used; passwords and sensitive content do not belong in the spend inventory.

This template is a management aid, not legal advice. It does not establish a legal compliance program, grant software rights or override an agreement. The firm decides the policy and obtains any review its circumstances require.
Adapt it to your firm
- Threshold: decide who may commit the firm, how the full commitment is measured and when approval is required. Do not copy another firm's numerical threshold without a reason.
- Owner: choose a role with access to the commercial record and the ability to bring a decision to the approver. Name a backup so a departure does not orphan the renewal.
- Cadence: use the actual renewal and notice schedule to choose review dates. A recurring meeting is useful only if it happens before the relevant action deadline.
Connect the policy to the AI subscription audit guide and AI purchase approval process. Then use the AI Renewal Checklist for a first review.
Questions about the policy
Does a small firm need a written policy?
A short written record can make buying authority, ownership and renewal timing clear. Adapt the template to the firm's actual controls rather than adopting a threshold or rule that nobody can follow.
Who should own renewals?
Assign one named role for each subscription and a backup who can access the commercial record. The owner gathers the evidence and brings the decision to the person authorized to commit the firm.
How do we handle tools already in use?
Add them to the inventory, identify the owner and check the current agreement before making changes. Set a review date that leaves time for the actual notice requirement and any workflow transition.
Give the policy a working record
Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.
Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.
The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
