COMPARE REVIEW APPROACHES

Spreadsheet, AccruePilot or automated SaaS management?

AI subscription review options include a spreadsheet your team designs and maintains, AccruePilot's prepared manual workflow, or an automated platform when connected data collection is required. Choose by your sources, review workload and permissions. Every approach needs an accountable owner to keep records current and follow through on decisions.

Start with the work your team needs to do

For a U.S. professional-service firm with 10 to 250 employees, the useful question is who will keep the record current and how the evidence will reach them. Headcount alone does not decide which approach fits.

This is AccruePilot's practical comparison of three approaches. It is not a ranked vendor test. Start with the free AI tool inventory template to see what your team can maintain, and use the seat versus usage guide to define the cost records you need. The platform column describes capabilities to verify with each provider; it does not imply that every product includes every capability.

AccruePilot's price covers internal use by one purchasing U.S. organization. Resale, redistribution or repeatable client-service delivery requires a separate written commercial license. Review the product's compatibility, delivery and license terms before purchasing.

What does automated discovery depend on?

Providers describe different ways to collect evidence. Zylo's integration guide distinguishes financial and contract sources from identity-provider and usage sources. Flexera describes financial records, direct application connections, single sign-on and other discovery methods. These are provider descriptions, not an independent test of coverage in your firm.

As a practical evaluation step, ask a prospective provider to show which of your records it can ingest, which applications it recognizes and where a manual check remains necessary. A connection to an identity provider and a connection to an expense system answer different questions.

The FinOps Foundation identifies vendor billing exports, contractual terms and usage telemetry as inputs to SaaS reporting. That supports checking more than a list of application names when designing a review.

Which approach fits your next review?

A spreadsheet may be enough

Use the tools you already have when your team can gather the records, maintain the dates and follow through on decisions. A well-maintained spreadsheet does not need replacing simply because a paid toolkit exists. Start with the free renewal calendar and decision templates if you want a prepared starting point.

Consider AccruePilot for a prepared manual process

Consider the toolkit when you want the local Control Center, editable workbook and written guidance together, and are ready to supply and maintain your own data. The free files are companion resources; they are not a trial of the paid application. The paid Control Center and workbook record renewal dates and calculate suggestions. They have no dedicated notice-deadline, approver or editable four-choice decision fields. Keep those review records in your own files or the free companion templates. AccruePilot does not discover subscriptions, monitor vendor accounts continuously, enforce vendor limits or cancel services automatically.

Evaluate an automated platform when connected collection is a requirement

If recurring data collection, access workflows or broader SaaS oversight is central to the requirement, compare platforms against a written list of the systems and actions you need. Confirm coverage and permissions before relying on a demonstration. AccruePilot is not a substitute for those integrations.

Choose your next review step

Do you have a list of every paid AI tool?

Do you know each tool's renewal date?

Do you know who owns each tool?

Have you checked usage evidence in the last 90 days?

Is there a recorded decision for each tool?

Count your yes answers. With 0 to 2, start with the checklist, then the inventory template. With 3 or 4, complete the inventory and checklist. With all 5, use the decision record and schedule the next quarterly review. This is a routing aid, not a quality score.

Questions before choosing a review approach

Which records should an AI subscription review cover?

Use invoices, expense records, contracts and available usage reports. Ask team owners to identify bundled tools, annual charges and gaps so that a list of app names is not mistaken for a complete cost record.

Who should maintain the inventory?

Name one review owner and an accountable owner for each tool. Agree who resolves missing information and who is authorized to approve and complete changes.

How should we handle renewal reminders?

Confirm the actual notice deadline and required notice method, then schedule a decision earlier using your chosen review buffer. A stored renewal date does not itself prove that a reminder will be sent.

Does recording a decision change the subscription?

No. A record, an alert and an executed vendor action are different things. AccruePilot supports manual records; your team completes approved account changes and retains confirmation.

What access does an automated platform need?

Check the proposed connectors, their permissions, collected data and retention against your actual systems. Ask the provider to demonstrate coverage and exceptions before granting access.

Can we keep the records if we change tools?

Confirm the export format and what supporting evidence it includes before choosing a platform. For a manual process, agree where files are stored, who can access them and how current versions are identified.

What costs belong in the comparison?

Include the software price, setup, training and continuing review work. AccruePilot is US$59 once; connected platforms need a current proposal. No approach guarantees savings or a financial return.
