| Question | Spreadsheet | AccruePilot | Automated platform |
|---|---|---|---|
| How is the inventory built? | Your team gathers, enters or imports records and checks completeness. | Your team supplies and maintains its own records. No bank, card or vendor connection is made. | Evaluate the provider's specific financial, identity, application or other collection methods against your systems. |
| What does the price cover? | Your existing software arrangements plus setup and continuing review work. | US$59 once for the Founding Edition, plus your team's work and required compatible software. Verified October 29, 2026. | A current vendor plan or quote, implementation and ongoing administration. Scope and pricing vary. |
| Where do decisions live? | In the fields, approval process and calendar your team designs. | Use your own or free companion decision record for Keep, Resize, Test or Retire, an approver and notice deadlines. | Check the proposed plan's renewal workflows, approvals and exportable decision records. |
| What access does it need? | Access to the source records and the spreadsheet storage you choose. | Your own records and compatible desktop browser, spreadsheet software and PDF reader. | Verify every connector's permission, collected data, retention and administrator responsibilities. |
| Who does it fit? | A team able to maintain a manageable register using tools it already has. | A U.S. firm that wants a prepared manual toolkit and is ready to maintain the evidence. | A firm requiring recurring connected collection or other capabilities a manual toolkit cannot supply. |
Use this table to write requirements before requesting demos or purchasing software. Read the named AccruePilot alternatives for dated provider evidence.
By firm size
| Headcount context | Start by checking | Possible fit |
|---|---|---|
| Under 10 | Can one owner keep a short register and act before notice deadlines? | An existing spreadsheet can be sufficient. Avoid buying a system before the recordkeeping problem is clear. |
| 10 to 50 | Are subscriptions spread across teams, cards or client work? Who reconciles them? | A maintained spreadsheet or prepared manual toolkit can support a coordinated review. Connected collection is a separate requirement. |
| 50 to 250 | How much work is needed to collect evidence, resolve exceptions and maintain account access? | Compare manual ownership against a platform's verified coverage. Greater headcount alone does not prove automation is necessary. |
These ranges organize a buying conversation. They are not measured adoption rates, software thresholds or evidence that one approach produces a particular financial outcome.
Questions to ask any vendor
- Coverage: Which invoices, contracts, accounts and usage records will the review include? Which sources still require a manual check?
- Permissions: What information is collected, where is it stored and who can approve access?
- Commercial terms: What is the full price, billing cadence, commitment, renewal deadline and permitted seat change?
- Actions: Does the product record a recommendation, send an alert or make a change in another system? What approval is required?
- Exit and support: Can you export the records and completed decisions? What help is included, and what work remains your team's responsibility?
Our recommendation, stated plainly
Start with the least complicated approach that can meet the requirements you have actually written. If a team can maintain its records with existing software, a new purchase is optional. Use the free AI tool inventory template to find out where the work becomes difficult.
Consider the manual AccruePilot toolkit when you want its prepared Control Center, workbook and guide and can maintain your own evidence. Choose a connected platform for requirements that depend on integrations, after verifying those capabilities. Do not expect a manual toolkit to supply automatic discovery.
The review options page explains the responsibilities that remain with your firm under each approach.
Questions before choosing
Do we need a tool at all?
You need an accountable review process and records that remain current. A spreadsheet you already use may be enough if it covers the inventory, dates, evidence and decisions your firm needs.
What does an automated platform cost?
The price depends on the provider, plan, scope and commercial agreement. Check current official pricing or obtain a written quote, and include setup and ongoing administration when comparing the alternatives.
Can we start with a spreadsheet and upgrade later?
Yes. Keep consistent vendor names, owners, billing terms and evidence references so the inventory remains useful if your collection method changes. Before moving, check import, export and permission requirements.
Turn the cost into a review decision
Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.
Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.
The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
