AI COST GUIDE

AI seat vs usage pricing: what your firm actually pays.

AI seat pricing charges for access assigned to people. Usage pricing charges for measured activity, such as tokens or credits. A plan can combine both. To budget the full cost, separate the fixed commitment from variable charges, check what is included, and confirm which controls actually stop additional spending.

Start with your firm's own bill

Use the free AI Review Templates workbook to record fixed charges and review dates. Keep a separate usage estimate in its Decision Record or your own cost schedule. To request the workbook by email, complete its $0 checkout with your email, country and ZIP/postal code. The inventory template guide explains the fields.

Definitions for reading an AI bill

Paid seat
Purchased access capacity. The paid count can differ from assigned users or total employees.
Usage charge
A charge for measured activity, such as tokens, tasks or credits, at the applicable rate.
Included allowance or credit
Activity or credit value covered by the plan, subject to its eligibility, expiry and billing rules.
Commitment and billing frequency
The contract term and how often you pay. Monthly payments can still accompany an annual commitment.
Budget, alert and cap
A budget records an intention, an alert notifies someone, and a cap restricts activity within its documented scope.
Base license
An underlying software subscription required for a particular add-on or capability; keep its cost separate and check whether the firm already pays for it.
Premium seat
A vendor's higher-capacity paid seat type; check its included allowance and price separately from Standard seats because names and entitlements vary.

Three pricing structures to recognize

What drives each part of an AI bill
StructureCost driverReview question
SeatPaid people or licenses, multiplied by the applicable rate.Who needs each seat, and when can its charge change?
UsageBillable activity at the rate for each model, feature or service. What activity is charged, in which units, and at what rate?
HybridAccess fees plus usage, with any applicable included allowance or credits.Which activity is included, and what happens after that allowance?

Read the specific plan. For example, OpenAI bills ChatGPT Business and its API separately. Some Claude subscriptions include claimable API credits with eligibility and expiry rules. Neither arrangement should be assumed for another vendor.

Calculate fixed and variable costs separately

Period cost = fixed access charges + billable usage + other applicable charges. Calculate usage after applying the plan's actual allowance or credit rules. Do not subtract a credit again if the vendor's billable-usage figure already reflects it.

For token-priced services, calculate each component in its quoted unit. Anthropic's pricing documentation, for example, distinguishes input, output and cache charges, with additional feature pricing.

Fictional monthly example, in USD: 10 seats at $18 cost $180. Three million billable input tokens at $2 per million cost $6. One million billable output tokens at $8 per million cost $8. The combined amount is $194 before taxes and other charges. These invented rates illustrate the arithmetic, not any vendor's current offer.

For multiple seat types or models, calculate each line separately. Include any platform fee, minimum commitment, storage or paid tool charges that apply. Record implementation and review effort separately when assessing whether the workflow is worthwhile.

Estimate the seat commitment

Use separate counts for Standard and Premium seats. Formula: (Standard seats x Standard rate) + (Premium seats x Premium rate) = monthly equivalent; monthly equivalent x 12 = annual equivalent. A monthly plan's twelve-month total is a scenario, not an annual commitment.

Excluded from the seat subtotal: taxes, API usage, workspace credits, extra usage and separate base licenses. Google Workspace is a complete suite price. Copilot uses its add-on list price, with its base license excluded unless the separate scenario is shown.

ChatGPT's current 200-seat limit applies to workspaces created from August 24, 2026; older workspaces retain their previous limit. Official seat-limit scope, verified October 29, 2026.

Make the estimate useful for a real decision

Start with a representative usage period and record its dates. Ask the workflow owner what may change: people, document volume, output length, model choice or automated runs. Build a normal and a higher-usage estimate using explicit assumptions. An annualized fixed charge is not a forecast of those variable costs.

Separate billing frequency from commitment length. A contract billed monthly may still commit the firm for a year. Record the renewal date, notice requirements, permitted seat changes and any prepaid credit expiry from the actual agreement.

Check what happens at the limit

In the vendor account, verify who can enable extra usage, buy credits or turn on automatic reload. Check whether the selected budget sends an alert, blocks activity, or applies only to a particular project or user. Record the reset period and escalation owner. Recheck these controls after changing plans.

AccruePilot's manual review tools do not enforce a vendor budget or cancel a service. Use the AI Renewal Checklist, then record evidence, approval and the next action in your own files or the free Decision Record. Complete any change with the vendor and retain its confirmation.

Common pricing questions

Is usage pricing always cheaper?

No. Compare the expected workload, required features, implementation effort and applicable commitments. A smaller usage estimate alone does not establish that two products deliver the same outcome.

Does a paid seat include API access?

Check the plan. App subscriptions, API billing and promotional credits can have different rules. Confirm eligible products, account ownership, expiry and what happens when credits run out.

Can I multiply one month's usage by 12?

Use it as a clearly labeled scenario if that month is representative. Document seasonality, planned growth and price assumptions. Keep that estimate separate from confirmed fixed commitments.

Where should I record variable usage?

The free workbook's Decision Record has a monthly usage-budget field and space for evidence. Its Renewal Calendar total covers fixed charges only. Keep detailed metered actuals in your own supporting schedule.
