DEFINITION

What is AI spend management

AI spend management is the practice of understanding and controlling what an organization commits to AI services: inventorying purchases, pricing fixed and variable charges, checking evidence of use and recording decisions. People remain responsible for authority and follow-through, whether the work uses a spreadsheet, a manual toolkit or connected software.

What is AI spend management in practice?

  1. Inventory: identify each subscription or separately billed AI service, its owner, billing account and purpose. Reconcile the list with authorized invoices, agreements and expense records.
  2. Price: separate seats, required base software, credits and metered activity. Record the commitment, currency and notice requirements, and label estimates rather than treating them as confirmed charges.
  3. Evidence: ask what work the tool supports, over which period, for whom and with what remaining checking or rework. A login count and a demonstrated workflow benefit are different observations.
  4. Decision: record Keep, Resize, Test or Retire, the reason, approver, action owner and next review. Retain confirmation when an authorized person completes the vendor change.

What it is not

The practice is not a promise that every review will reduce spending. A review may support the current arrangement, justify a higher-capacity plan or show that evidence is missing. It should make those choices explicit.

AccruePilot's version of the process is manual. The toolkit does not automatically discover subscriptions, connect to financial or vendor accounts, enforce a budget, cancel a service or provide a procurement platform. Other products may support those functions; verify them against the provider's actual scope.

Who this guide is for

This guide is written for U.S. professional-service firms of 10 to 250 people. Such a firm may have spending spread across teams and work streams while still assigning the review to a small operations or finance group. That is the intended audience, not a claim that every firm in the range has the same problem.

The useful starting point is a named owner and accessible evidence. Choose the collection method by the records and actions the firm needs, using the AI subscription review options.

How to start

Use the AI Renewal Checklist for one upcoming renewal. Build the wider list in the AI tool inventory template and keep the approval and next step in the AI decision record.

The AI subscription audit guide gives the full method. Keep an explicit list of unknowns and assign each one to a person who can confirm it; missing evidence is a task, not a zero.

Choose your next review step

Do you have a list of every paid AI tool?

Do you know each tool's renewal date?

Do you know who owns each tool?

Have you checked usage evidence in the last 90 days?

Is there a recorded decision for each tool?

Count your yes answers. With 0 to 2, start with the checklist, then the inventory template. With 3 or 4, complete the inventory and checklist. With all 5, use the decision record and schedule the next quarterly review. This is a routing aid, not a quality score.

Questions about AI spend management

Is AI spend management the same as SaaS management?

They overlap when AI is sold as a software subscription. AI reviews also need to distinguish metered activity, credits and AI add-ons, while a broader SaaS program can cover many non-AI applications and access workflows.

Do we need software to do it?

You need reliable records, a responsible owner and follow-through on the decision. A spreadsheet or manual toolkit can support that process; connected software is useful when your requirements depend on recurring collection or integrations.

How often should we review?

Set a recurring cadence and work back from the earliest contractual notice deadline. Review again when a purchase, staffing change, price change or new workflow alters the approved arrangement.

Make the next decision explicit

Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.

Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.

The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
