DEFINITION

What is an AI subscription audit

An AI subscription audit is a structured management review of the AI services a firm pays for: their owners, billing terms, prices, renewal dates and evidence of use. It produces an inventory, action dates and recorded decisions. Here, audit means an internal management review, not statutory or independent financial assurance.

What is an AI subscription audit: the method in four steps

  1. Inventory: gather the tool, plan, owner and source record for each charge. Include separately billed AI add-ons and usage services, and reconcile shared plans so the same commitment is not counted twice.
  2. Price: record fixed capacity, variable charges, billing cadence and the agreement. Confirm the date and method by which a renewal or capacity change must be requested.
  3. Evidence: review the supported work over a stated period. Ask the workflow owner what information is missing and what human checking remains.
  4. Decision: Keep a supported arrangement, Resize the justified capacity or terms, Test an unresolved use within clear limits, or Retire with an approved transition. Name the approver and action owner.

What the audit produces

Working records the firm can maintain
RecordPurpose
InventoryReconcile what the firm pays for with its billing basis, owner and evidence source.
Renewal calendarPut a decision date before the actual notice deadline, with an accountable owner.
Decision recordRetain the reason, approver, action, effective date and next review.

The free review templates supply companion formats for these records. The review is complete when approved actions are confirmed, not merely when the inventory has been filled in.

How long it takes

Duration depends on how many billing accounts and agreements exist, whether the records are current and how quickly owners can resolve gaps. A first review may require evidence gathering that a later review can reuse. This page does not supply an unsupported completion-time promise.

Scope the first pass to one renewal, record the gaps and assign follow-up dates. For recurring reviews, work from the maintained register and the earliest notice deadlines. If the records are incomplete, report that limit rather than declaring an exhaustive audit.

Start with the checklist

Use the AI Renewal Checklist and AI tool inventory template with your own authorized records. The AI subscription audit guide explains the detailed procedure, including evidence and action confirmation.

The online checklist and guides need no signup. Free file downloads use a $0 checkout with your email, country and ZIP/postal code. Keep client content, prompts and passwords out of the subscription inventory; record only what the management review needs.

Choose your next review step

Do you have a list of every paid AI tool?

Do you know each tool's renewal date?

Do you know who owns each tool?

Have you checked usage evidence in the last 90 days?

Is there a recorded decision for each tool?

Count your yes answers. With 0 to 2, start with the checklist, then the inventory template. With 3 or 4, complete the inventory and checklist. With all 5, use the decision record and schedule the next quarterly review. This is a routing aid, not a quality score.

Questions about the audit

How is an audit different from a review?

On this site, both terms describe a management check of subscription records, use and renewal decisions. This method is not an independent financial audit, a statutory assurance engagement or a certification.

Who should run the audit?

Choose an owner who can coordinate invoices, agreements and workflow evidence. Finance, operations, account administrators and the spending approver may hold different pieces of the record, so make those responsibilities explicit.

What do we do with tools nobody uses?

Confirm the evidence period and ask the owner whether seasonal or upcoming work changes the conclusion. If the firm decides to retire a tool, plan data export, workflow handoff and contractual notice before an authorized person changes the account.

Give the next review a clear record

Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.

Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.

The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
