The firm and its inventory
The fictional operations lead starts with approved invoices, current agreements and the people responsible for each workflow. The register covers an internal assistant, a research subscription and a document automation service. Generic labels avoid implying that any real product has the invented terms below.
Using the AI tool inventory template, the lead records the owner, billing account, purpose and review date for each service. The AI Renewal Checklist keeps the procedural steps visible.
Pricing each tool
| Fictional tool | Hypothetical model | Monthly cost formula | Annualized scenario |
|---|---|---|---|
| Internal assistant | 10 seats at US$18/month | 10 × US$18 = US$180 | US$180 × 12 = US$2,160 |
| Research subscription | 4 seats at US$24/month | 4 × US$24 = US$96 | US$96 × 12 = US$1,152 |
| Document automation | US$30 access + 2,000 units at US$0.02 | US$30 + 2,000 × US$0.02 = US$70 | US$70 × 12 = US$840, if usage is unchanged |
| Total before hypothetical taxes or other charges | Separate fixed and variable components | US$180 + US$96 + US$70 = US$346 | US$2,160 + US$1,152 + US$840 = US$4,152 |
The fixed monthly seat-and-access amount is US$180 + US$96 + US$30 = US$306. The illustrative usage component is US$40. Multiplying it by 12 is a scenario only; the firm still needs its actual usage pattern and agreement.
Checking the evidence
The assistant owner supplies a current assigned-seat list and describes recurring internal work. The research owner identifies one seasonal workflow and two seats whose purpose is unclear. The automation owner can show a unit count but has not documented which activities are billable or whether an alert stops extra spending.
These observations establish questions to resolve, not waste or savings. The reviewer records the evidence period and its limitations. A quiet period for research is assessed against the work cycle, and a usage number is reconciled with the invoice before it becomes a budget assumption.
The decisions
| Fictional tool | Decision | Reason and required action | Next review |
|---|---|---|---|
| Internal assistant | Keep | Owner supports the current workflow; confirm the next renewal and maintain evidence. | Before the next confirmed notice deadline. |
| Research subscription | Test | Owner must explain the unclear seats over a defined evaluation before a capacity decision. | At the agreed test end date, before notice is due. |
| Document automation | Resize, proposed | Administrator checks the supported usage setting and approver reviews the proposed budget. No change is treated as complete without confirmation. | After the first invoice following any approved change. |
Retire remains available when the firm decides a tool no longer supports an approved need and can complete a controlled transition. This example does not force every decision category into the table or claim that a proposed change saved money.
Record the approver, reason and action in the AI decision record. Use the renewal calendar to work back from the actual notice requirement.
What the firm does next quarter
The owner reconciles the register with new purchases, departures and changed workflows. Completed actions retain vendor confirmation and the effective date. The next review compares actual invoices with the prior assumptions; a plan is not treated as a result.

Questions about the example
Is this a real client?
No. The firm, tool labels, prices, usage observations and decisions are fictional. The example demonstrates a recordkeeping method and is not evidence of AccruePilot customer results.
Can we copy this format for our firm?
Yes. Use the free inventory, calendar and decision record with your own invoices, agreements and authorized evidence. Replace every hypothetical input and confirm the actual deadlines before acting.
What if a tool has no usage evidence?
Record the gap and ask its owner for evidence over a suitable period. Missing evidence does not prove no use; the firm can set a bounded test or decide a transition after checking the supported workflow and terms.
Run the method with your own evidence
This illustrative example is a starting point for your own records. Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.
Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.
The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
