Gemini AI cost for business in Google Workspace
Billing period
Calculated in your browser. Nothing you enter leaves this page.
Standard U.S. dollar rates reviewed October 28, 2026, excluding tax and temporary promotions. These are prices for the Workspace suite, including its AI features, rather than an AI-only license.

|---|---|---|---|
| Business Starter | US$7 | Annual/Fixed-Term plan | Gemini in Gmail and the Gemini app; narrower feature access |
| Business Standard | US$14 | Annual/Fixed-Term plan | Gemini across more Workspace apps and expanded research features |

Business editions cover one to 300 users. The right tier depends on the actual tools and controls needed, not simply on having fewer than 300 employees.

Identify the exact Google product on the invoice
Google Workspace with Gemini, AI Expanded Access, Gemini Enterprise and the Gemini API are not interchangeable billing labels.
- Workspace: the underlying business productivity subscription.
- AI Expanded Access: an optional paid add-on for higher access to advanced capabilities. Check your account-specific price and eligible edition.
- Gemini Enterprise - Business edition: a separate add-on offering, not the same name as a Workspace Enterprise edition.
- Gemini API: developer usage managed through a billing account and project.

Start with the exact subscription name and billing ID. Do not apply an education price, a consumer AI offer or a cloud API rate to the Workspace business subscription. Ask the administrator which paid additions are actually assigned.
Monthly payments can still carry an annual commitment
Flexible billing has no term commitment and permits user-count changes. An Annual/Fixed-Term plan commits to purchased licenses for a year or longer; payment may be monthly or yearly, depending on the purchase arrangement. License reductions occur at renewal. Early cancellation leaves the remaining commitment payable.

Record both the payment frequency and the contract end date. A monthly invoice is not evidence of monthly cancellation rights. If buying through a reseller, reconcile the reseller's order form and notice requirements with the account information.
AI Expanded Access purchased directly online uses Flexible billing, but some license removals can still incur a full month's charge. Treat its terms as a separate line in the review.

Illustrative example: 25 Business Standard users
Annual billing: 25 x US$14 x 12 = US$4,200 for an annual commitment.
Assume a hypothetical firm needs 25 Business Standard licenses for a full year, at standard U.S. rates, with no add-ons or API usage.
- Annual commitment: 25 × US$14 = US$350 monthly equivalent, or US$4,200 for the year.
- Flexible: 25 × US$16.80 = US$420 per month, or US$5,040 across 12 unchanged months.
If those same people already had Business Starter at the annual rate, the price difference for moving all 25 to Standard is 25 × (US$14 − US$7) = US$175 monthly equivalent. That is a whole-suite upgrade cost; it cannot be attributed entirely to AI without deciding how your firm values the other changes.
These calculations exclude tax, promotion eligibility, mid-term changes and additional services. Use your actual commitment and renewal price when comparing options.
How to check your Workspace and Gemini bill
AI access varies by Workspace edition and feature. A bundled AI feature is not a promise that every model, tool or capacity level is included.

The Gemini API has its own free and paid usage arrangements. Paid API costs depend on the model and services used, including applicable token and tool charges. Record the billing project, billing-account owner and measured usage separately from Workspace seats.

- Match the invoice to the exact Workspace edition, purchased licenses and contract term.
- List paid AI add-ons and confirm which users have them assigned.
- Check the API billing project and measured usage separately from Workspace.
- Confirm the renewal date and when a license reduction would change the bill. Record missing evidence and its owner.
Questions before you renew
Is Gemini free if we already pay for Workspace?
Relevant features are included in the listed editions, so you may already have access without buying another AI subscription. The suite itself is paid, and higher access or separate products can add charges.

Do all Workspace Business editions include the same AI?
No. Compare the exact feature and access level, especially when moving from Starter to Standard. Confirm it is available for your edition before relying on a demonstration.

Does removing a user immediately reduce an annual contract?
No. The committed license count is reduced at renewal. Check the paid count as well as active accounts.

Should we cancel another assistant because Gemini is included?
Test the work that matters first. Keep a record of quality, access, review effort and unmet requirements, then decide whether an overlap is unnecessary or useful.
Turn the price into a review decision
For a U.S. professional-service firm with 10 to 250 people, start with one invoice and one upcoming renewal. Use the free AI Renewal Checklist to work through the review, with no signup. Keep the evidence and decision in your own records or the free review templates.
Read AI seat versus usage pricing to separate fixed commitments from variable charges. Compare AI subscription review options if you are choosing a spreadsheet, AccruePilot or connected software. Use the AI tool inventory template guide to identify bundled and separately billed tools.
The AccruePilot AI Spend Control System is US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. You supply and maintain the records. It does not discover accounts, enforce vendor budgets or cancel subscriptions.
