What this advisory firm actually buys
Separate general assistants from specialist research subscriptions, client-reporting software and AI add-ons in existing business systems. Record the purpose, owner and billing account for each. A business assistant price does not include every data license, research source or reporting entitlement the firm may require.
Map the subscription to an approved task: internal research preparation, document organization or report drafting, for example. Ask the responsible reviewer which client information may be used and what checking must remain. The cost review supports the firm's process; it does not provide investment, legal or other professional advice.
AI costs for advisory firms: what the bill looks like
Illustrative example: a fictional 25-person advisory firm purchases 10 Claude Team Standard seats for a research and reporting group and five ChatGPT Business Standard seats for an overlapping group of users. That is 15 paid subscriptions across an assumed 10 people.
| Purchased capacity | Formula | Annual seat charge |
|---|---|---|
| Claude Team Standard | 10 × US$20 × 12 | US$2,400 |
| ChatGPT Business Standard | 5 × US$20 × 12 | US$1,200 |
| Combined seat charges | US$2,400 + US$1,200 | US$3,600 |
This excludes specialist research/data subscriptions, client-reporting systems, extra usage, API charges and taxes. An included usage allowance or eligible promotional credit does not remove the need to record the seat commitment and separate usage controls.

| Firm headcount | Assumed seat mix | Annual seat formula |
|---|---|---|
| 10 | 4 Claude + 2 ChatGPT | (4 × US$20 + 2 × US$20) × 12 = US$1,440 |
| 25 | 10 Claude + 5 ChatGPT | (10 × US$20 + 5 × US$20) × 12 = US$3,600 |
| 100 | 40 Claude + 20 ChatGPT | (40 × US$20 + 20 × US$20) × 12 = US$14,400 |
These paid-seat assumptions scale only to show the arithmetic. Your seat count follows justified access, usage follows actual workload, and base software follows the licenses your firm needs. Do not treat employee count as an automatic purchasing rule. AI seat versus usage pricing explains the distinction.
Estimate the seat commitment
Use separate counts for Standard and Premium seats. Formula: (Standard seats x Standard rate) + (Premium seats x Premium rate) = monthly equivalent; monthly equivalent x 12 = annual equivalent. A monthly plan's twelve-month total is a scenario, not an annual commitment.

Excluded from the seat subtotal: taxes, API usage, workspace credits, extra usage and separate base licenses. Google Workspace is a complete suite price. Copilot uses its add-on list price, with its base license excluded unless the separate scenario is shown.
ChatGPT's current 200-seat limit applies to workspaces created from August 24, 2026; older workspaces retain their previous limit. Official seat-limit scope, verified October 29, 2026.

Where renewals ambush this advisory firm
- Reporting-cycle mismatch: low activity between reporting periods does not automatically mean a seat is unnecessary. Review an evidence window that covers the work the license supports.
- Research duplication: two products may provide different source rights or checks even when their interfaces look similar. Confirm the actual entitlement and purpose before consolidating.
- Unreviewed higher tiers: occasional heavy work can lead to permanent higher-capacity seats. Compare the observed need, permitted extra-usage controls and next commitment before renewing the same mix.
A review for this advisory firm
Ask the research or reporting owner to identify the output, its preparation work and the checking needed before use. Keep client content out of the subscription inventory; record the authorized evidence source and where the reviewer can inspect it.
Review utilization alongside realization. Activity can show that a tool is used, but the firm must still establish whether its cost and workflow support work it actually delivers and realizes. Released time, completed work and financial outcomes are different observations.
Keep a supported research or reporting role, Resize capacity when the future workload justifies it, Test an unresolved use with an owner and deadline, or Retire after confirming source access, exports and the effect on client-reporting processes.

First step
Choose one upcoming renewal and use the AI Renewal Checklist. Then build a record with the AI tool inventory template, confirm the contractual dates, and write the decision in the AI decision record.
Gather an invoice, the current agreement and a named workflow owner before comparing plans. The AI subscription audit guide explains how to check the inventory and finish the action.
Questions about the review
Should every employee get a paid AI seat?
Map paid access to approved research, reporting and support work. A firmwide headcount does not establish that every person needs the same subscription or tier.
Do we need more than one AI assistant?
Keep each assistant tied to a distinct, approved workflow or evaluation question. Review the research-source and checking requirements as well as the subscription price before changing the stack.
Who should own the review in our firm?
An operations or finance owner can reconcile the costs, while research and reporting owners supply workflow evidence. The designated spending approver records the decision, with professional and information-handling reviewers included where required.
Turn the cost into a review decision

Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.
The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
