What this marketing agency actually buys
Group the inventory by workflow: concept development, copy preparation, design or video generation, account reporting and automation. Creative production tools can use credits, export limits or other units that a general-assistant seat comparison does not capture. Keep those charges as separate lines with their own owners.
Check whether the agency buys a shared business workspace or reimburses separate subscriptions across client accounts. A client-specific need may be legitimate, but its owner should explain the access, billing and information boundaries. Do not assume a suite's whole price is an additional AI charge.
AI costs for marketing agencies: what the bill looks like
Illustrative example: a fictional 25-person agency holds Google Workspace Business Standard for all 25 people and adds 10 ChatGPT Business Standard seats. The Workspace amount buys the complete suite, including its applicable Gemini features; it is not a separate Gemini add-on price.
| Purchased capacity | Formula | Annual charge |
|---|---|---|
| Google Workspace Business Standard suite | 25 × US$14 × 12 | US$4,200 |
| ChatGPT Business Standard | 10 × US$20 × 12 | US$2,400 |
| Combined seat-and-suite commitment | US$4,200 + US$2,400 | US$6,600 |
If the agency already budgets US$4,200 for this unchanged Workspace commitment, the additional ChatGPT seat line is US$2,400 in this example. Do not call US$6,600 incremental AI spending. Generation credits, specialist creative tools, automation runs, API charges and taxes are excluded.

| Agency headcount | Assumed licenses | Annual seat-and-suite formula |
|---|---|---|
| 10 | 10 Workspace + 4 ChatGPT | (10 × US$14 + 4 × US$20) × 12 = US$2,640 |
| 25 | 25 Workspace + 10 ChatGPT | (25 × US$14 + 10 × US$20) × 12 = US$6,600 |
| 100 | 100 Workspace + 40 ChatGPT | (100 × US$14 + 40 × US$20) × 12 = US$26,400 |
These paid-seat assumptions scale only to show the arithmetic. Your seat count follows justified access, usage follows actual workload, and base software follows the licenses your firm needs. Do not treat employee count as an automatic purchasing rule. AI seat versus usage pricing explains the distinction.
Estimate the seat commitment
Use separate counts for Standard and Premium seats. Formula: (Standard seats x Standard rate) + (Premium seats x Premium rate) = monthly equivalent; monthly equivalent x 12 = annual equivalent. A monthly plan's twelve-month total is a scenario, not an annual commitment.

Excluded from the seat subtotal: taxes, API usage, workspace credits, extra usage and separate base licenses. Google Workspace is a complete suite price. Copilot uses its add-on list price, with its base license excluded unless the separate scenario is shown.
ChatGPT's current 200-seat limit applies to workspaces created from August 24, 2026; older workspaces retain their previous limit. Official seat-limit scope, verified October 29, 2026.

Where renewals ambush this marketing agency
- Client turnover: a production tool remains after the account or campaign it supported ends. Assign a named owner before the account team disbands.
- Duplicate production paths: creative staff and account teams purchase overlapping tools under different billing accounts. Reconcile the workflow before deciding whether the duplication has a purpose.
- Credit expiry and automatic reload: a monthly seat amount can hide a separate generation budget. Record credit validity, who may reload and what actually stops further spending.
A review for this marketing agency
Start with a recent campaign deliverable and follow its production path. Ask what the tool contributed, how much editing and checking remained, which usage charges were incurred and whether the next client workload needs the same capacity.
For client-delivery margin, distinguish reduced effort from billable work or capacity actually used. A faster first draft does not by itself prove a margin improvement. Keep the evidence at the workflow level without putting client material into the subscription register.
Keep an essential production step, Resize seats or credit permissions to the supported work, Test a new creative workflow with explicit limits, or Retire a tool after exports, handoffs and contractual notice are resolved.
Compare the whole-suite basis in Gemini AI cost for business with the separate subscription in ChatGPT cost for business.
First step
Choose one upcoming renewal and use the AI Renewal Checklist. Then build a record with the AI tool inventory template, confirm the contractual dates, and write the decision in the AI decision record.
Gather an invoice, the current agreement and a named workflow owner before comparing plans. The AI subscription audit guide explains how to check the inventory and finish the action.
Questions about the review
Should every employee get a paid AI seat?
Match access to creative, account and operations work. Some employees may already have the needed capability in a suite the agency pays for, while others need a specialist tool with a different pricing model.
Do we need more than one AI assistant?
Review the entire production path before comparing feature lists. Keep more than one only when the owners can explain the distinct work, information boundary or required output each supports.
Who should own the review in our firm?
Operations or finance should reconcile spending across client teams. Creative and account leads provide workload evidence, and the person authorized to commit the agency approves changes.

The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
