What this recruiting firm actually buys
List general assistants, sourcing subscriptions, meeting or note-taking tools and AI features sold with the applicant-tracking or CRM system. Record each separately billed service, even when two tools support the same placement workflow. A sourcing or CRM add-on may have different limits from a general business assistant.
For each tool, name the permitted task and the people responsible for the firm's candidate-data policy. Review authorized access and recordkeeping requirements before changing a workflow. The cost review does not decide which candidates should be selected or replace the firm's hiring process.
AI costs for recruiting firms: what the bill looks like
Illustrative example: a fictional 25-person recruiting firm purchases 10 ChatGPT Business Standard seats and five Copilot Business add-ons. Assume the five add-ons are assigned to people within the same 10-person user group. There are 15 paid subscriptions, not 10.
| Purchased capacity | Formula | Annual seat charge |
|---|---|---|
| ChatGPT Business Standard | 10 × US$20 × 12 | US$2,400 |
| Copilot Business add-on | 5 × US$21 × 12 | US$1,260 |
| Combined seat charges | US$2,400 + US$1,260 | US$3,660 |
The total excludes qualifying Microsoft base licenses, sourcing and ATS/CRM subscriptions, metered usage, API charges and taxes. Check whether a required base license is already budgeted; record the full commitment without treating it as a new charge twice.

| Firm headcount | Assumed seat mix | Annual seat formula |
|---|---|---|
| 10 | 4 ChatGPT + 2 Copilot | (4 × US$20 + 2 × US$21) × 12 = US$1,464 |
| 25 | 10 ChatGPT + 5 Copilot | (10 × US$20 + 5 × US$21) × 12 = US$3,660 |
| 100 | 40 ChatGPT + 20 Copilot | (40 × US$20 + 20 × US$21) × 12 = US$14,640 |
These paid-seat assumptions scale only to show the arithmetic. Your seat count follows justified access, usage follows actual workload, and base software follows the licenses your firm needs. Do not treat employee count as an automatic purchasing rule. AI seat versus usage pricing explains the distinction.
Estimate the seat commitment
Use separate counts for Standard and Premium seats. Formula: (Standard seats x Standard rate) + (Premium seats x Premium rate) = monthly equivalent; monthly equivalent x 12 = annual equivalent. A monthly plan's twelve-month total is a scenario, not an annual commitment.
Billing period

Excluded from the seat subtotal: taxes, API usage, workspace credits, extra usage and separate base licenses. Google Workspace is a complete suite price. Copilot uses its add-on list price, with its base license excluded unless the separate scenario is shown.
ChatGPT's current 200-seat limit applies to workspaces created from August 24, 2026; older workspaces retain their previous limit. Official seat-limit scope, verified October 29, 2026.
Optional base scenario: Microsoft 365 Business Standard with Teams, verified October 29, 2026. It is one eligible base plan; check the services already licensed and the dated Copilot terms above.

Where renewals ambush this recruiting firm
- Hiring-surge seats: paid capacity added for a busy desk can remain after recruiter headcount or active mandates fall. Reconcile assignments and purchased capacity separately.
- Sourcing overlap: the CRM, ATS and a standalone tool may all charge for adjacent functions. Ask which record or workflow each owns before paying for another add-on.
- Desk ownership changes: renewals tied to an individual card or departed desk lead can lose an accountable owner. Transfer commercial responsibility without copying passwords into the inventory.
A review for this recruiting firm
Ask a desk lead to describe the work the subscription supports over a stated period. Record usage evidence, relevant workload and the human review that remains. Do not infer better placement outcomes from login activity or outreach volume alone.
Assess placement economics using the firm's own costs and evidence. A change in tool use may coincide with a changed mandate mix or market demand; it is not proof that the tool caused a fee or placement. Keep that distinction visible to the spending approver.
Keep a supported workflow, Resize paid capacity after the owner checks future mandates, Test an unresolved process question within an approved boundary, or Retire after data-handling, notice and handoff requirements are confirmed.

First step
Choose one upcoming renewal and use the AI Renewal Checklist. Then build a record with the AI tool inventory template, confirm the contractual dates, and write the decision in the AI decision record.
Gather an invoice, the current agreement and a named workflow owner before comparing plans. The AI subscription audit guide explains how to check the inventory and finish the action.
Questions about the review
Should every employee get a paid AI seat?
Review the permitted work of each desk and support team. Recruiter headcount is context, while paid capacity should follow the tools and features those roles actually need.
Do we need more than one AI assistant?
Check overlap with the ATS, CRM and sourcing stack as well as other assistants. A second subscription needs a stated workflow purpose and an owner who can supply evidence of use.
Who should own the review in our firm?
Operations or finance can maintain the register, with desk leads providing workload evidence. The spending approver and the people responsible for candidate-data handling should be involved when the change affects their responsibilities.
Turn the cost into a review decision
This illustrative example is a starting point for your own records. Start with one invoice and one upcoming renewal. Use the AI Renewal Checklist with no signup, then follow the AI subscription audit guide to build the wider review.
Keep the evidence, approver, notice deadline and Keep, Resize, Test or Retire decision in your own records or the free companion templates. These are not dedicated fields in the paid Control Center or workbook. Compare AI subscription review options if you need a different collection method.
The AccruePilot AI Spend Control System costs US$59 once for a local browser Control Center, editable Excel workbook and 12-page field guide. It is for one purchasing U.S. organization's internal use. Your team supplies and maintains the records; the toolkit does not discover accounts, enforce budgets or cancel services.
